The Secretary/Treasurer shall keep accurate records of the proceedings of all general business meetings and also meetings of the Board of Directors. The Secretary/Treasurer shall be prepared to refer to minutes of previous meetings, prepare a summary of unfinished business for the President and conduct all the necessary correspondence of the Association. The Treasurer shall receive all of the monies for the Association and shall deposit them in the name of the Association, in bank accounts (savings/checking) approved by the Board of Directors. The Treasurer will submit, for the Board of Directors approval, an annual budget. The budget will include expenditures authorized during the annual Board of Directors meeting. The Treasurer shall pay out sums as authorized by the Board of Directors. The Treasurer shall submit the financial records of the Association to the designated accounting firm for preparation of a Statement of Accounts in time for the Statement of Accounts to be completed and presented at the annual business meeting. A copy of the Statement of Accounts will be available for review of the general membership at the annual meeting. Candidates for the office of Treasurer shall undergo a background investigation conducted by the Nominating Committee to determine suitability, fiscal responsibility, and satisfactory background to meet bonding criteria. The certification of candidates by the Nominating Committee shall satisfy any bonding requirements.
Section 4.
The Administrative Assistant shall assist the Secretary/Treasurer in matters of the Association's data base and Roster file updates and periodic changes. The duties will also consist of assistance in preparation of the Association's newsletter and items of correspondence.
Section 5.
The Board of Directors shall conduct necessary business between regular
business meetings and such other business as may be referred to it by the
Association. The Board of Directors will approve an annual budget during
the final Board of Directors meeting at the annual convention and meeting.
It will authorize the Treasurer to expend funds as budgeted. Any emergency/unbudgeted
expenditures exceeding 5 percent of the approved budget will require approval
of the Board of Directors. The Board shall create such standing committees
as are deemed necessary to support the charter of the Association. None
of the Boards' acts shall conflict with action by the Association. It shall
present to the Association, a complete written report of all action taken
in Board of Directors meetings during the year. Funds bequeathed to the
Association and not designated shall be distributed by the Board of Directors
to Association accounts in the best interest of the Association.
