School Year 2003/2004

The following guide gives brief descriptions on the many activities the PTA
is involved with, and can serve as a resource when deciding what committees or
board positions you
may be interested in participating in.

EXECUTIVE
BOARD
Co-President
*– Conduct and oversee all PTA matters for Hewitt and act on behalf of the
Hewitt PTA on District related matters. Interested parties should be able to
devote a considerable amount of time preparing for and carrying out their
duties; co-presidents attend 3-5 meetings per month.
1st Vice President
*– Sets up and oversees class parent program. Chairs the teachers luncheon,
Jenkins committee and nominating committee.
3rd Vice President*
– Co-chair for the Hewitt Fair and Field Day.
Recording Secretary
*– Take minutes at all meetings of the Executive Board and General
membership. See that the minutes are presented for approval at each meeting.
Keep a record of attendance at all meetings.
Corresponding Secretary*
– Conducts PTA correspondence, distributes mail, makes telephone calls to
Executive Board regarding meetings and important information.
Treasurer
*– Manages PTA funds/bank account, keeps an accurate and detailed account of
all monies and pays bills. (Experience in this field will make the position
almost stress free.)
Council Delegate (2)*
– Attends all council meetings and reports at Hewitt PTA meetings, brings
concerns of our PTA to council, participation in council programs when asked or
assigned.
Alternate Council Delegate*
– Fills in for council delegates when they are not available. Attends Board of
Ed meetings and reports back to Hewitt PTA when necessary.

ADMINISTRATION
Grade Representative/Class Parent/Class Volunteer
– These three positions comprise Hewitt’s phone chain. The Grade
Representative is responsible for relaying grade appropriate information to
the Class Parent. The Class Parent then passes it on to the
Class Volunteer who each has a number of parents to call. Some of these
calls may be as early as 6:00am. Class Parents work with the teachers to
help coordinate class celebrations and other projects that require parental
involvement. It is the responsibility of the PTA 1st Vice President
to coordinate all grade representatives and class parents. The 1st
Vice President has sign up sheets for these positions at our first PTA meeting
in September. Please make every effort to attend if you are interested.
Publicity
– There are many newsworthy projects and events at Hewitt School. Work with
teachers to tell our story through timely placement of photos and news items in
the media.
SEPTA – Be the link between Hewitt PTA and SEPTA (Special Education
PTA). Attend SEPTA meetings monthly and make timely reports at our monthly
meetings.

DISTRICT PTA COMMITTEES
AIDS Awareness
– This committee coordinates
in-school projects that enrich the state-mandated AIDS curriculum. Community
service projects can also be planned.
Arts in Motion (AIM) – This committee is responsible for bringing
enrichment programs into the school for our children to enjoy. These programs
cover the worlds of dance, art, music, science, literature and culture. Help
select these performances by attending showcases arranged by District PTA and
working with Mrs. Spencer and the teachers to provide shows to our students.
Curriculum –
This two-person committee is responsible for attending monthly meetings with
representatives from each Rockville Centre school to discuss the ever-changing
state standards and requirements. The information is then shared with the Hewitt
community at the monthly PTA meetings.
Community Substance Awareness – Play a pivotal role in planning our
annual "Red Ribbon Week." This group addresses issues that affect students of
all ages. Attendance at four or more Drug & Alcohol Task Force Meetings a year
is required.
Health & Safety –This committee plays a vital role in the protection
of our children. Be a part of the team that addresses issues such as parking,
bus safety, building security, etc. This committee coordinates several events.
Bike Safety Day, planned in conjunction with the Rockville Centre Recreation
Department, is scheduled for September. Coordination of the district Blood Drive
held in the Spring is also required.
Legislation/Bylaws
– This committee includes an informational meeting about state PTA legislation.
Present the new legislation to PTA members at a PTA meeting and bring the vote
back to the District Council. Bylaws are updated every three years. A workshop
is available from Nassau District PTA on how to properly update bylaws. Our
bylaws are due to be updated in 2004.
Membership – This committee facilitates the first step in joining the
PTA. This committee is responsible for issuing membership cards and collecting
dues. Help us achieve 100% membership in the PTA.
Parenting Center – Introduce the Hewitt Community to various
educational programs that support parents and teachers in raising children to
become responsible individuals. Must act as a liaison between district parent
center representative and report back at meetings.
School & Community
– This two-person committee can act as a liaison between the School Board and
the Hewitt Community. Attend monthly Board of Education and PTA meetings to keep
both informed.

ENRICHMENT
Parent as Reading Partners (PARP)
– PARP is a
month long endeavor which combines several projects all aimed at encouraging a
love of reading. Activities this year included parents/community guests, reading
in the classrooms, take home projects, authors’ night and a great reading
challenge through the Rain Forrest. Attendance at the PARP conference in early
fall is recommended.
Reflections – Photos, essays, artwork, songs, poetry – all created by
our children and based on a theme determined by New York State PTA. Distribute
the information packets, collect the entries and set up the judging. The ball
gets rolling in the late fall.

FIFTH GRADE EVENTS
Coordinators of Fifth Grade Events
– Two
volunteers are needed to coordinate all of the wonderful events/fundraisers for
our outgoing fifth graders.
Cookie Dough Sale
– Coordinate the sale and distribution of cookie dough tubs.
Gift Wrap Sale
– Two volunteers are needed to coordinate the annual
gift-wrap sale. Sale begins in September and runs for approximately one month.
All Hewitt students will be able to participate in this sale, with the proceeds
earmarked for the fifth grade end of year trip.
Fifth Grade Picnic – Field day for 5th graders! A last
hurrah where children play games and have a barbecue with the long-time friends.
Help serve the burgers, present the children with the souvenir T-Shirts and send
them home with memories to spare and a special treasure – their Hewitt Yearbook!
Fifth Grade Moving Up – This is it, the culmination of the Hewitt
experience. Pick out a theme for the afternoon, decorate the gym and set up
refreshments. Most of our children have spent half their lives at Hewitt. Help
make this moment the very best it can be!
Helping Hands
– Coordinate fifth-grade community service projects
after school with the fifth grade students (e.g. making sandwiches for the
homeless; assembling wash cloth kits for shelters, etc.).
Note Cards – Coordinate the sale and distribution of note cards that
students design with their own artwork. Great gifts for the holidays!
Pizza – Our pizza lunches are designated as a fifth grad fundraiser.
Sweats & T-Shirts – coordinate the sale and distribution of
"official" Hewitt sweats and T-Shirts for the entire Hewitt community.
Yearbook – The school year in pictures, this is a priceless gem for
children in the fifth grade. Be a part of the team that puts it all together by
taking pictures or helping with the page layouts. An ideal committee for a fifth
grade parent to chair.

IT WOULDN’T BE HEWITT WITHOUT…
Book Fair
– This four-day event occurs in the
spring. Parent salespeople assist children while they shop for books and other
educational materials. Requires setup and breakdown of book displays before and
after the book fair.
Box Top Collection – A volunteer is needed to coordinate the
collection of box tops. The proceeds from box top collection will be used to
benefit our students.
Fall Flower Sale
– Coordinate the sale of beautiful fall flowers.
Requires one-day distribution of flowers on school grounds.
Holiday Boutique
– Our annual boutique is a place where the Hewitt
student can purchase a special gift for the holidays. Parents are needed to help
the children find just the right gift, as well as set up and breakdown of
display tables.
Kindergarten Orientation – Held in May/June, this event is designed
to give incoming kindergarteners and their parents a preview of Hewitt. Parents
are needed to act as hostesses to our guests.
Picture Day – Know how to put a smile on a child’s face? Then we need
you at Picture Day! Coordinate class and individual pictures at this one-day
event that takes place in the early fall with a retake day in late fall. This
includes organizing volunteers, distributing flyers and collecting funds.
School Supply Packs
– Help compile the teachers’ lists, send out and collect the order forms and
distribute the supply packets. This committee’s work begins in late spring and
culminates with the distribution in September.
Spring Plant Sale
– Run by the fourth grade parents, this sale
provides our parents with flats of plants, hanging baskets and other beautiful
"nursery" items. This committee will coordinate the collection of orders and
distribution of plants

JUST FOR FUN
Arts & Crafts
– Coordinate different after
school projects for children in Grades K-2 and 3-5. Two or three projects are
planned in the fall and spring.
Fair – A fun filled
fall day coordinated by the PTA’s 3rd Vice Presidents and enjoyed by
the entire community. The fair is an opportunity for every Hewitt parent to
volunteer their time and energy to the PTA’s grand fundraiser of the year. This
is our ultimate PTA extravaganza and a great day for all!!!! The 3rd
V.P.’s have a separate sign up as the day approaches.
Field Day – Rumored to be one of the very best days at Hewitt!!
Planned by the Physical Education teachers and with the coordination of the 3rd
Vice Presidents and help from scores of parents, students spend a spring day
engaged in fun and games. Parents can be team captains, game leaders or serve
refreshments. Activities and themes are limited only by your imagination.
Girls/Boys Night Out – Alternating years, either boy or girl students
and a guest get together for an evening of fun and games. Committee chairs
coordinate the theme and volunteers for this fun event. (This year is the girls’
turn!)
Yankee Doodle Circus
– Coordinate a fun-filled day for the entire community. Outside circus provides
the entertainment while parents are needed to sell advance tickets to three
separate shows at South Side High School. In addition to sales, parents are also
needed for baked goods sale and hot-dog stand.

LUNCHTIME COMMITTEES
Lunch Committees
– If you enjoy not having to
make lunch for your child, come and be a part of the team that serves them.
There are four days to choose from: Bagel Day; Chicken Day; Hot Dog Day
and Pizza Day. Each lunch day is held every other week. (Possible
Sandwich Day in the works!!)
Cookie Days – Approximately once a month, help sell special occasion
cookies to the students during lunch.
Ice Cream Days -Assistance is needed selling ice cream in the
Fall/Spring at lunchtime during the warmer weather.

PUBLICATIONS
PTA/School Directory
– Be the one who puts the directory together in September. A form is distributed
at "Back to School Night" (Sept.), requesting the name, address, phone number
and e-mail address of each student’s parents. With the help of the Class Parents
you compile the class directory and update the data in an established layout.
Then all you have to do is enter the new kindergarteners’ information and
distribute the finished product in Sept/Oct. Microsoft Excel is required.

SUPPORT
Hospitality
– This committee is responsible for
coordinating and setting up refreshments for Back-to-School Night, held in
September, and Visitor’s Day, held in May. You must set up and coordinate
refreshments for PTA meetings and other events (including various teacher
breakfasts).
Hewitt Garden –
Have you noticed the beautiful flowers that have graced Hewitt’s lawn throughout
the year? The students helped plant all of the bulbs and seedlings, which were
carefully prepared by our Hewitt Landscapers. Come help for an hour in the fall
and again in the spring.

2003/2004 YEAR
Each
year the PTA holds events that are not necessarily held on an annual basis. The
proceeds from these fund-raisers are used to provide additional
programs/activities for our children. Parents are encouraged to share new ideas
with the PTA. An Art Auction (October 3rd) and a Theme Party (TBA)
are on the slate for the coming year. Look for flyers for these events in your
monthly packet.
