Clubs need trained leaders. Club success depends upon having Club officers who fulfill their responsibilities as leaders. When Club officers are well trained and performing their duties, members reap the benefits of a healthy Club environment.

President

Serves as Club’s chief executive officer, responsible for general supervision and operation of the Club. Presides at Club meetings. Directs Club in way which meets educational growth and leadership needs of members. In cooperation with executive team, establishes long-term and short-term plans for Club growth.

Vice President Education

Responsible for planning successful Club meetings so that each member has the opportunity to achieve his or her educational goals. Directs planning, organization, and implementation of Communication and Leadership, Speechcraft, and other educational programs. Schedules speeches, signs Communication and Leadership manuals, updates Member Progress Charts, and reports educational program completions promptly to World Headquarters. Coordinates recognition of member achievement. As second-highest ranking Club officer, presides at Club and executive committee meetings in absence of the President. Ensures that each new member receives orientation to the Toastmasters educational program, including assignment of mentors and new member induction.

Highlights of Vice President of Membership Duties

1. Is responsible for keeping a healthy Club membership of at least 20 active members by adding at least one new member a month. This is done by:

• Encouraging all Club members to bring guests frequently and occasionally holding membership building contests.

• Greeting all guests and making them feel comfortable. Sitting with guests to explain the meeting to them. Giving guests literature about the Club and Toastmasters International.

• Getting guests to sign a Guest Book or Guest Information Sheet so that the Club can reach them.

• Calling guests a couple of days after the meeting to thank them for attending and answer any questions they may have as well as encouraging them to return and become a member.

• Sending all guests a follow-up thank you letter or thank you card for their attendance.

• Sending new members a letter welcoming them to the Club.

2. Assists new members in filling out New Member Application forms and determining the dues owed (with the help of the Treasurer).

3. Works to encourage membership satisfaction.

4. Helps prepare the Semiannual Membership Report.

5. Chairs the Membership Committee.

6. Formally invites prospective new members to join (after approval by the Membership committee) subject to majority approval by a vote of club members during a meeting.

7. Introduces prospective new members to the club for a vote on their membership. Conducts formal induction when Club approves membership.

8. Participates in Executive Committee meetings.

9. Attends District-sponsored Club officer training.

Vice President Public Relations

Develops, implements, and administers a program that maintains a positive image of Toastmasters for all members, guests, and the general public. Responsible for internal and external public relations for the Club, including but not limited to: preparing and distributing news releases regarding Club activities; publicizing Club events; working with Club officers to develop literature about the Club; representing Club with the media. Works with Club Newsletter Editor and Sergeant At Arms to maintain an effective program of internal Club communication.

Immediate Past President.

Provides guidance and serves as resource to Club officers and members. Chairs the Nominating Committee. Assists in preparation of Club Success Plan and promotes Club’s efforts to become a Distinguished Club.
