Minutes of Vista Kiara Residents Committee Meeting held on 27 July 2002 at 4pm outside squash and badminton courts

Item 1:           Updates

·         VKROC asked TVMS to look into the feasibility of linking the intercom system from each unit to enable the access doors at the ground floor to be opened. We are delighted to hear that such a system is possible, should cost no more than RM 10,000 and can be installed in about two weeks. Therefore VKROC has formally requested TVMS to use the sinking fund to purchase such a system and we look forward to its completion

·         VKROC is happy to see that visitor parking is much improved. VKROC extends a special thanks to Ben Chua and the security guards

·         The badminton courts now look cleaner. Thank you

·         VKROC understands that the cats in the condominium are strays and that DBKL has been informed and will follow up. Thank you.

·         VKROC understands that TVMS is still finalizing the accounts and will give a copy when they are ready. Thanks in advance

Item 2:           Outstanding items for TVMS from previous month’s meeting

·         Can TVMS clarify what is covered in the monthly pest control services?

·         Can TVMS update us as to whether the CCTV has now been fixed and fully functioning?

·         Can TVMS confirm if the gas pipes in the refuse area of most floors as well as near the children’s play area are now safe?

·         Can TVMS label the supermarket trolleys according to the units they are supposed to be serving e.g. A 1-4, A5-8, B1-4, B5-8?

·         Can TVMS look into the water flow rate at the car wash area since there is a design problem with all three outlets coming from the same source?

·         Regarding the general appearance of the plants and trees in the condominium, we understand that there may be insufficient funds allocated to properly change the fertilizers and replant new species. We would like to kindly highlight to TVMS that they should be considering value besides than cost. Paying a contractor less may result in lower short-term payment, but the end result may be much lower quality since the contractor may scrimp here and there. We believe that it may be better to pay the contractor that little bit extra and get superior results..

 

Item 3:           Key Points at 3rd meeting between VKROC, TVMS and AsiaQuest

·         In order to reduce possible misunderstanding, minutes will now be prepared by Ms Ella and reviewed by Mr Lee Po Shing before distribution. We have not yet received a draft of these minutes but once they are prepared, any resident is welcome to view these at our next meeting

·         TVMS/AsiaQuest suggested that an arch be built at the entrance of Vista Kiara condominium. The current plan is to build the arch at the very front next to the road, be very well illuminated, cost around RM 40,000 to 50,000. Assuming the management has surplus funds, then this arch can go ahead – TVMS/AsiaQuest forecasts this to be the case later this year. TVMS/AsiaQuest requested that VKROC discuss this suggestion at the next meeting. Thus we discussed this suggestion in detail and the discussion can be summarized as follows:

·         We are in agreement in principle that building an arch will enhance the visibility of the entrance to the condominium and be in the interests of all owners and residents

·         We have no comment as to what is an appropriate amount for this construction. We can comment on this only after looking at multiple designs/proposals along with expenditures in other areas e.g. security, gardening, landscaping

·         We have some feedback in terms of the requirements/specifications:

-           The wording “Vista Kiara” in the proposed plan should be larger and more visible

-           The style of the arch may be reconsidered to be consistent with the “Arc de Triomphe” concept and the overall condominium design

-           The location of the arch would be better if it was together over the guardhouse like most other condominiums, instead of the current plan which would have the arch at the front  and the guardhouse some 20 or so feet behind

-           We need to consider the precise location since we do not want to block the pedestrian path with the two supports

Item 4:           Any Other Business

·         There seems to be a number of blocked or clogged drains at and around the tennis court area. This is leading to overflow and is accelerating the deterioration of the tennis courts. Can TVMS look into this matter urgently?

·         There appears to be a number of birds nesting at the top of the badminton court/multipurpose hall area with a number of holes in the aluminium foil. Can TVMS look into this and even consider putting a couple of bird tables in the barbecue area for the birds to nest, away from the roof?

·         The area next to the exit boom gate at the guardhouse is particularly dark. This makes it easier for unwanted visitors to enter. Can TVMS look into putting another spotlight there?

·         TVMS has highlighted the availability of the Intell Power 6106 energy saving device which can save up to 30% of a unit’s electricity bill. This would be a fantastic saving but VKROC members are unsure as to the validity of the claim. Can TVMS look into securing a few units for VKROC testing (say three months) and then we can share our findings with all residents. Also, we understand that the management office is not yet using this device. Can the management office try this item themselves and give us the feedback as to the electricity savings realized?

·         Another area to consider for beautification is to exchange the barbecue area with the sand pit. This would create a better setting for poolside functions with the barbecue nearby and at the same time provide more space for kids to play at the current barbecue area.  In order to have a fuller discussion of how to beautify VKROC, can TVMS review the utilization rates of all the common facilities including the tennis courts, badminton courts, squash courts, barbecue area?

 

Item 4:           Next meeting (usually held on the last Saturday of the month)

·         Next month’s meeting will be at 4pm on Saturday 31 August 2002

·         VKROC would like to make these monthly meetings more informal and suggests organizing a tea party, starting at 4pm (or at 5pm, after the meeting). This would allow additional residents to attend along with their family and be a fun community event. VKROC can take care of the  arrangements but in order to purchase the refreshments, VKROC request for TVMS to approve an appropriate budget Lee Po Shing will follow up with TVMS on this matter.
