Before the meeting
- Contact Educational Vice-President to confirm that program details for the meeting are in order.
- Make a list of business matters that you plan to bring up during the business meeting, and contact each of the officers and committee chairs to find out what other agenda items need to be addressed.
- Make a list of important announcements and upcoming events.
- Prepare your introduction of the Toastmaster of the meeting.
- When arriving at the meeting, take time to welcome guests.
During the meeting
- Call the meeting to order on time and announce the opening ceremony.
- Following the opening ceremony, make general introductory remarks and recognize any visitors present. Thank them for coming.
- Conduct a short (ten minutes or less is a good target) business meeting.
- Call for officer reports
- Call for committee reports
- Old business
- New business
- Make brief announcements
- Introduce the Toastmaster of the meeting and turn control of the meeting over to that individual.
- After the educational program, take control of the meeting back from Toastmaster and thank that individual for his or her efforts.
- Ask guest to rise, if they wish, and give comments on meeting. Thank them for coming and advise them that the officers and members of the club will be available after the meeting for questions.
- Make brief announcements, and review schedule for the next meeting.
- Adjourn the meeting on time.
