Toastmaster of the Meeting
Before the meeting
- One week before meeting, contact participants (scheduled speakers, Topicmaster, General Evaluator) and remind them of their assignments.
- If a participant cannot be at the meeting or cannot perform his or her scheduled function, work with the Educational Vice-President to arrange a substitute in advance, not at the meeting.
- Obtain information from participants so that you will be able to introduce them properly.
- Plan meeting carefully to avoid adjourning late.
- Prepare meeting agendas, listing all participants and expected times for completion of each meeting segment.
- Make sure all participants are present. Encourage speakers to talk with their scheduled evaluators.
- Distribute meeting agendas to each seat.
- Welcome guests.
During the meeting
- Keep meeting running on schedule. If a participant is running overtime, the Toastmaster has the authority to ask them to conclude swiftly or immediately.
- Order of events:
- When introduced, thank club President and offer remarks about program and nature of meeting.
- Ask the "Ah" Counter, Grammarian, and Timer to explain their roles in the meeting.
- Introduce the Topicsmaster, and let that individual lead the Table Topics portion of the meeting. Following Table Topics, call for the Timer's report and vote for the best Table Topics speaker.
- Announce each speech by title and speaker; identify which manual project the speaker is working on; describe the purpose of the speech project.
- Remain standing until speaker has assumed the lectern, and then take your seat.
- At the end of each speech, lead applause, thank speaker, and resume the lectern. Ask audience members to fill out comment slips on ballot for each speaker. Pause while they do so. Bridge from one speaker to the next smoothly.
- At the end of the prepared speeches, call for the Timer's report.
- Introduce the General Evaluator and let that individual run the evaluation portion of the meeting. Following the evaluation session, call the Timer's report.
- Return control to the President.
